To enrol your child in Hillsborough OOSH please read our family handbook and complete the relevant enrolment forms and return to PO Box 176, Charlestown, New South Wales 2290. Alternatively, contact us and we can post the full enrolment package to you.

Please keep in mind spaces are limited and we follow government guidelines towards priority of access:
 
 
  • Priority 1 A child at risk of serious abuse or neglect.
 
 
 
  • Priority 2 Sole parent or both parents working, seeking work, or studying.
 
 
 
  • Priority 3 Parents/Carers not working.
 
 
 
 
It is a legal requirement that Hillsborough OOSH and Elermore Vale OOSH follow this policy. Additional enrolments will be offered on a first come first served basis.

Permanent Bookings for Before and After School Care

 
Many parents and guardians want the security of permanent outside of school hours care for their child. To secure your child's place, simply fill out the permanent booking form—available from one of our staff members—and hand it in with your enrolment form.

To keep your permanent child care position active, please ensure your fees are paid even if your child is absent from care If your child is unable to attend OOSH due to illness just provide us with a medical certificate and we will waive your fee for that period.

In the case of absence, you still need to sign the roll and acknowledge your child's absence to be entitled to the Child Care Subsidy (CCS). Your child is allowed up to 42 days of absence from care, per financial year, without a medical certificate (if you have a medical certificate absent days are not counted towards the 42 days). After 42 days, you will no longer receive CCS for absent days, and you will have to pay the full care fee for that day.

We keep a record of absences to avoid any confusion. If you think your child's absences have been incorrectly recorded please let us know immediately
 
 
 

Vacation Care and Casual Bookings

 
For your convenience, we can offer you the flexibility of making a casual booking for before school care, after school care and vacation care. To secure your child's place ask one of our staff members for our casual booking form and hand it in with your enrolment form.
 

Changes to Vacation Care and Casual Bookings

 
If you need to make changes to the days or times of your casual booking please do so on a booking form or in writing and give them to the OOSH coordinator. We ask you to give us 24 hours' notice for the cancellation of a booked vacation or casual day.
 
 
 

Notes and Receipts

 
We also have a parent communication book where you can leave messages regarding your child or children. You are welcome to include changes to your bookings, comments or suggestions, notices to staff or even other parents in the parents' communication book. Alternatively, messages can be left on Hillsborough or Elermore Vale OOSH's phone message banks, which are available 24 hours and regularly checked.
 
 
 

Information and Record Confidentiality

 
Staff and management will ensure that all required records are made, properly maintained, updated and kept in the nominated secure place. All records are confidential and only made available to authorised persons.

All documents relating to children and parents will only be made available to the parent, guardian or approved persons enrolling the child, staff and authorised members of the management committee who require relevant information, or Commonwealth or State Government officers on request.

All documents relating to staff will only be made available to the individual staff member, the management or police if required.

All documents relating to fee payment and CCS will only be made available to the parent, guardian or approved persons enrolling the child, staff and authorised members of the management or Commonwealth Government officers.

No member of staff may give information on matters relating to children, to anyone, other than to the parents or guardian enrolling the child when this information has been obtained in the course of employment in the centre.
Exceptions are made:

  • For normal information exchange among staff & management for the daily operation of the centre & well-being of the staff & children.
  • If we are required to do so in a court of law when subpoenaed.
  • When the welfare of the child is at risk the appropriate government agencies may be contacted.
  • No member of staff may give information on matters relating to staff or management, to anyone except in normal information exchange among staff & management for the daily operation of the centre & wellbeing of the staff & children, or when required to do so in a court of law. If accident reports to insurers are required.
 
 
 

Fees

 
An enrolment fee of $30 per family is to be paid before your child or children commence at our centres.

We also offer transport to and from school at $1.00 per family, per trip. So, whether you have 1, 2 or more children attending, the charge is the same.
 
 
 

Payment of Fees

 
To secure your place your fees must be paid 2 weeks prior to your child commencing care.

We accept EFTPOS and direct deposit payments, for your convenience. If you would like to make your payment by these means, please see staff or refer to the bottom of your invoice. If you would like to pay by cash, please hand it to the designated staff member in an envelope. Collect your payment envelopes from your centre and on payment you will be given a receipt. Invoices are for information purposes only and will be placed in your child’s folder for you to collect. For permanent bookings, we can send your invoice by email.

 
 
 

Outstanding Fees 

 
You will appreciate that the number of childcare places at Hillsborough OOSH and Elermore Vale OOSH are restricted and there is a waiting list. Consequently, if your fees are still outstanding by Friday at 9.30 am in the week your child attends one of our centres you will be given a reminder notice. If your fees are not immediately paid in full your child may be excluded from care and their place given to another family on the waiting list. Unpaid accounts will be passed on to a debt collection agency. You will be responsible for all collection and legal costs involved.
 
 
 

Additional Fees for the Late Collection of Your Child

 
Please make sure you collect your child before 6 o’clock in the evening. If you are late in picking up your child, we will have to pay staff overtime. Not only that, it inconveniences our staff, who have families and children of their own. Late collection after 6:00 pm will incur an extra fee of $10.00 per 5 minutes.

It is essential that you contact your centre if for any reason you cannot collect your child on time. We will call you if you are 10 minutes late to find out your expected arrival time. Failing that your emergency contacts will be phoned and asked to collect your child. If you have not collected your child by 6:30 pm and we cannot reach you or your emergency contact it becomes a mandatory reporting issue and we will inform the Department of Community Services.
 
 
 

Child Care Subsidy (CCS) and the Child Care Management System (CCMS)

 
Both of our out of school hours centres are approved to offer CCS through the CCMS system. This means you no longer need to link your child to our service through Centrelink. If you have not received CCS before you will need to check your eligibility as parents may be entitled to Child Care Subsidy.

Prior to your child’s enrolment you will need to complete and lodge an application form with Centrelink. We appreciate that government applications can be complicated and are happy to help you through the processes.

If you know you are eligible to receive CCS you will need to show our centre:
 
 
  • the enrolling guardian’s CRN (customer reference number) and date of birth
 
 
 
  • the enrolling child’s CRN (customer reference number) and date of birth
 
 
 
  • proof of immunisation history statement
